Proactive updates

Make ongoing checks useful by defining when they should speak up.

Choose what deserves attention

A useful check has an observable condition: an overdue item, a new blocker, or a missing confirmation. Define that condition instead of asking for a general update about everything.

Keep unchanged state quiet

Include what should happen when nothing has changed. This prevents a recurring workflow from sending the same summary every time and helps the team notice the updates that need action.

Give the update a destination

Use a channel or task output your team already reviews. Include source links and an owner for the next step. External outreach and record changes still follow approval and access rules.

Review the schedule

Inspect the actual task in Tasks, including its next run and current status. Pause or adjust it when its signal stops being useful. A saved instruction is easier to maintain than an implicit expectation.

Open the relevant screen

Use Proactive updates in the active workspace. Sign in if needed. Check the workspace name before changing shared settings, connections, or billing.

If a control is unavailable, ask the workspace administrator or contact support. Include the screen, the action you tried, and the approximate time. Keep credentials and private customer material out of the request.
